Poland Feasibility

The Poland Feasibility tool supports the identification of potential clinical trial sites that have the highest number of patients in their database with a specific medical condition (based on ICD-10 classification), treatment (chemotherapy), and medical procedures (based on ICD-9 codes).

The tool is based on open data from the National Health Fund (NFZ), reported by medical institutions to the Fund.

Data on medicinal substances/products based on EAN codes are available for chemotherapy and biological treatment in autoimmune diseases. For other cases, the tool does not support searching by administered treatment.

The tool is designed to support the initial identification of potential clinical trial sites.

The tool offers two main search options:

• Basic search, where individual results (patient counts) from all selected ICD-10 codes are aggregated within each site.
• Expert search, where individual results (patient counts) are broken down by selected ICD-10 codes and subcodes within each site

We recommend starting with the basic search, which is set as the default when you access the tool via the provided link.

To obtain detailed information and confirm whether a given site has the number of patients indicated in the database, we recommend contacting the site directly or using the support provided by the Sponsor Support Center via email: cws@abm.gov.pl .

You can search for a potential clinical trial site using ICD-10 code(s).

Select the relevant main ICD-10 code from the drop-down list labeled “Chapters ICD-10.” Then, from the “Codes ICD-10” list, select the specific code(s) you are interested in — you can choose one or multiple codes. Click the “Search” button.

The results will show potential clinical trial sites along with the total number of patients matching all selected ICD-10 codes.

The results are sorted from the highest to the lowest number of patients.

In the “Interventions” section, you can view which medical procedures and medicinal substances were administered.

The results also include contact details of potential sites. If a site is part of the Polish Clinical Trials Network (PCTN), you can hover over the “PCTN” link to access a page with information about the Clinical Trials Support Center — the unit acting as a shared services center for that site.

You can export the results by clicking “Export view to Excel” or “Export all to Excel.”

Below the results, you will see a map of Poland showing the locations of potential sites.

Additionally, a heat map highlights areas with the highest number of patients meeting the search criteria.

You can search for a potential clinical trial site using ICD-10 code(s).

Check the “Expert search” box, then select the relevant main ICD-10 code from the drop-down list labeled “Chapters ICD-10.”

Next, from the “Codes ICD-10” list, select the specific code(s) you are interested in — you can choose one or multiple codes. Click the “Search” button.

In expert search mode, the results show individual patient counts for each site and each ICD-10 code and/or subcode.

The results are sorted by site, allowing you to see the number of patients for each ICD-10 code at a given site.

In the “Interventions” section, you can view which medical procedures and medicinal substances (including brand names of medicinal products) were administered.

You can download the results to an Excel file.

You can search by a specific ICD-10 code.

Enter the ICD-10 code into the “Search with ICD-10 phrases” field — please note that the phrase must exactly match the official ICD-10 classification.

You can search by ICD-10 code and the common name of a substance.

Select the relevant main ICD-10 code from the drop-down list labeled “Chapters ICD-10.” Next, from the “Codes ICD-10” list, select the specific code(s) — you can choose one or multiple codes. Click the “Search” button. Then, enter the name of the substance in the “Common name” field and click “Search by common name of the medicinal product.”

You can also search by ICD-10 code and the name of a performed procedure. Select the relevant main ICD-10 code from the drop-down list labeled “Chapters ICD-10.” Next, from the “Codes ICD-10” list, select the specific code(s) — you can choose one or multiple codes. Click the “Search” button. Then, enter the name of the medical procedure (according to ICD-9) in the “Procedure name” field and click “Search by ICD-9 procedure name.”

All search results can be downloaded to an Excel file by clicking either “Export view to Excel” or “Export all to Excel.”

The tool is based solely on data reported by healthcare providers to the National Health Fund (NFZ).

The data is presented quarterly and covers the last four full quarters. Updates are made every quarter. When a new quarter is added, the data from the oldest quarter is removed.

The tool provides an indicative estimate of the number of patients with a given diagnosis. For precise data, we recommend direct contact with the relevant healthcare provider.

Regarding treatment data, EAN codes include only cancer treatments, i.e. those under diagnoses C00–D48 (Neoplasms).

Under codes Z51.1 and Z51.2, which indicate chemotherapy, there are patients who do not have a second diagnosis code in the received data, e.g. C50. If a patient has both Z51.1 and C50, they will be shown under the C50 section.

Therefore, data associated with codes Z51.1 and Z51.2 are not representative of all chemotherapy treatments conducted in Poland.
